What an HR system does

An HR system, often called an HRIS, is one place for employee records, onboarding and offboarding, time off, documents and reporting. Most connect to payroll and benefits. BambooHR, Gusto and Rippling are common choices for small and mid-sized companies.

Before you buy

  • List what you need it to do in the first year, and what can wait.
  • Decide whether payroll will live in the same system or stay where it is.
  • Check that it connects to your payroll, accounting and identity tools.
  • Name one person who will own the system after launch.

Before you configure

These decisions shape the setup. Making them first avoids rebuilding later.

  • Your org structure: departments, locations and who reports to whom.
  • Time off policies: types, accrual rules, carryover and who approves.
  • Who can see what. Managers, finance and employees need different access.
  • Which fields you actually need on an employee record.
  • Your onboarding and offboarding steps, written out in order.

Getting the data in

  • Gather employee records from every place they currently live.
  • Clean them up before importing: one format for dates, job titles and departments.
  • Load time off balances as of a specific date and have managers confirm them.
  • Upload signed documents to the right employee files.

Rolling it out

  • Test with a small group before inviting everyone.
  • Send short instructions for the three things employees will do most.
  • Run one full onboarding and one offboarding through the system and fix what breaks.
  • Turn off the old spreadsheets so there is only one source of truth.
